Create a Job

Creating a job in Fergus is quick and easy. Whether you’re setting up a one-off job or managing ongoing work, this guide walks you through the full process step by step.

Quick action options

If you’re short on time, Fergus offers a few ways to create jobs faster:

  • Quick Actions: Found on the right-hand side of your home screen, these shortcuts let you complete common setup steps quickly.

  • Upload a PDF work order: If you already have a job request or work order, upload it to automatically fill in some job details.

  • Create from enquiries: If you’ve connected your enquiries, you can convert them directly into jobs.

These options are perfect when you need to get started fast. But if you’re creating a job for the first time, follow the full process below.

Step 1: Start a new job

Click New Job in the top left corner of your Fergus dashboard.

Use the search bar to find an existing customer, or click Add New Customer if they’re not in your system yet.

💡 Tip: If your accounting software is connected, Fergus can import your customer list. Any new customers you add in Fergus will sync back to your accounting software once you send them an invoice.

Step 2: Add site details

Site details can be different from customer details, especially if you work with property managers or real estate agents for example.

You can:

  • Search for an existing site

  • Copy the customer details

  • Click Add New Site to enter new information

Adding accurate site details helps your team know exactly where the work needs to happen.

Step 3: Choose a job type

Next, choose how you want to manage pricing and communication with your customer.

You'll see a switch, where you can toggle between:

  • Quote – for fixed-price work

  • Estimate – for a rough cost approximation

Both options work the same way in Fergus. The difference is in the wording your customer sees.

If this is a Charge-Up (Cost-Plus) job where you bill for actual labour and materials plus markup, leave the toggle off. This job type lets you invoice directly without creating a quote or estimate first.

Step 4: Add job details

Give your job a clear title, such as Bathroom Renovation or Aircon Installation and write a detailed job description. This helps your field team understand what needs to be done when they view the job in the Fergus Go app.

Step 5: Create the job

Once all the details are filled out, click Create Job at the bottom of the screen. Fergus will guide you to the next steps based on the job type you’ve selected, such as adding tasks, scheduling, or preparing a quote.

Navigating the Job Card in Fergus

Once you’ve created a job, the job card becomes your main workspace in Fergus. It’s where you can view, manage and track everything related to a job all in one place.

Before you begin

For quoted or estimated jobs, the job card stays inactive until the quote is accepted.

To open it early, go to the quote and click Add Job Phase in the bottom left corner.

Opening a job card

From the Home screen, click the job number to open the job card. Think of it as a digital job sheet — a central hub for all job details, documents, and updates. Your team can also access and update the card through the Fergus Go app.

Main tabs

Each tab in the job card helps you manage a specific part of the job:

  • Scheduling: Assign users to jobs and schedule them in the calendar.

  • Labour: View, manage and add timesheets.

  • Supplier Documents: View and manage supplier invoices linked to the job.

  • Purchase Orders: Create and send POs to suppliers.

  • Stock on Hand / Other: Track materials added via Fergus Go or desktop.

Left-hand tools

Use the panel on the left to access more details and tools. Some commonly used ones are:

  • Job Summary: Edit customer or site info.

  • Financial Summary: View live job costs and profit margins.

  • Notes and History: See past activity for this job with date and time stamps.

  • Files and Photos: Store and manage all related documents, images and videos.

You’ll also find Invoicing here — the go-to place to create and send invoices.

Job phases

The job number at the top (4385a) includes a phase letter.
Phases help you split work into stages, like Job 1A, 1B, and 1C, so you can track or invoice each separately.


If you don’t need multiple phases, that’s fine — every job starts with phase A by default. You can add more by selecting "Add Job Phase" in the bottom left of the job card.

💡 Tip: To archive a job, click Job Settings in the top right corner and select Archive This Job.
