Overview
Fergus Assistant works with plain English prompts, meaning you can talk to it like you would any other co worker, but sometimes the easiest way to see what’s possible is to see it in action.
Below are common use cases grouped by what you’re trying to do, with an example prompt for each. Try one as it’s written, then adjust it for your own job, customer or timeframe.

Jobs and customers
Set up a new customer, job and quote
Fergus AI checks whether the customer already exists, then creates and links the customer, site, job and a first quote draft:
“Create a job for Rose at 194 Padding Street. For a leaky hot water cylinder"
Find a job without working through filters
Find an old job using whatever you remember about it - the customer, the suburb, or the type of work:
“Have we done a switchboard upgrade for this customer before, and what did we charge?”
Scheduling
Help with schedule planning and last-minute changes
See which jobs are affected by a change to the schedule, who’s available to cover, and the proposed changes.

Plan the day using location and weather
Find unassigned jobs near an existing booking, and check the weather for the proposed time.

Quotes
Turn a supplier quote or work order into a draft quote
Attach the supplier file and bring the line items straight into a draft quote, with labour added
“Here’s the supplier quote for Phillip’s bathroom renovation. Bring the lines into a draft quote and add 20 hours of labour.”
Build and check a quote
Build a quote from a saved Favourite, the Price Book, or your own notes, then check the total, profit and margin.
“Start with our bathroom Favourite, add eight hours of labour and show me the margin.”
Invoices and payments
Get finished work invoiced
Find what’s left to bill on a finished job, and prepare the invoice and customer email for you to check.
“The bathroom renovation is done. What’s left to bill? Prepare the invoice and show me before anything sends.”
Record invoice payments in bulk
Find multiple invoices at once, show you the proposed updates, and mark them as paid once you confirm.
“Payment has come in for INV-04002 and INV-04003. Find them and show me before marking them as paid.”
Reports and business admin
Find the admin that’s slipping
Find missing timesheets and completed jobs that haven’t been invoiced yet.

Ask for a number, break it down by customer, and turn it into a chart.

Files and job costs
Put job files and photos to work
Add photos or a supplier file to the correct job, then ask Fergus AI to find that attachment again later.

Get job details without digging
Get the address, booking time, customer contact and relevant notes for your next job.
“What’s my next job, and what do I need to know before heading there?”
Capture time and notes before leaving site
Log your time against the right job and add a note describing the work, before you’ve even left site.
“Log my time on FERG-92. I started at eight and just finished. Note that the pump was replaced and tested.”
Get job admin done while your hands are busy
Speak a short update and Fergus Assistant prepares it against the job for you to confirm.

Keep the field and office on the same page
Leave a handover note on site, and have the office find the same update against the job.
