Overview
Fergus Assistant is built into Fergus - it works with the jobs, customers, quotes, invoices and schedules already in your account, so you don’t need to explain the whole job or copy information into a separate AI tool. Ask it in plain English to find information, prepare admin or update job records. If something’s missing, or more than one record matches, Fergus Assistant will ask you for more detail before going ahead.
You stay in control throughout: check customer details, dates, prices and messages before confirming anything important or sending anything.
You can use Fergus Assistant on Fergus web, at your desk, and in Fergus Go while you’re on the move.
Using Fergus Assistant on web
Open Fergus Assistant in Fergus, located beside the chat icon in the bottom right corner. Then type your question or request in plain English. Include the job, customer, site, quote, invoice or timeframe where you know it - the more specific you are, the less back-and-forth you’ll need. Answer any follow-up questions Fergus asks, then review the result and confirm before anything important happens.
One to try first: “Find the Smith hot water job and show me what still needs doing.”
Using Fergus Assistant in Fergus Go
Open Fergus Go, then open Fergus Assistant. Type your request, or - where voice is available - just say what you need. Check that Fergus has found the right job and understood the update, then confirm when you’re ready.
For example:
“What’s my next job, and what do I need to know before heading there?”
Or before you leave site:
“Log my time on FERG-92. I started at eight and just finished. Note that the pump was replaced and tested.”

Start with something you already do regularly - here are prompts to try, by area.
Jobs and customers
Set up a customer, job and quote
Describe the work once, then check the customer, site, job and quote draft Fergus prepares:
“Create a new job for Rose at 194 Padding Street. Her hot water cylinder is broken.”
Keep the conversation going rather than starting again:
“She wants it quoted. Start with our hot water Favourite and add eight hours of labour.”
“Show me everything before you create it.”
Find a job without working through filters
Use whatever you remember, like the customer, suburb, site or type of work:
“Have we done a switchboard upgrade for this customer before, and what did we charge?”
“Find the job with the recurring gully trap blockage in Titirangi.”
Scheduling
See who’s free
Ask which bookings are affected by a change and who might be available to cover:
“Harrison’s called in sick tomorrow. What jobs are affected, and who’s free to cover?”
Before changing anything:
“Show me the proposed schedule changes first.”
Plan the day using location, travel and weather
Find work near an existing booking and check travel or weather before deciding what to move:
“What unassigned jobs are near Alex’s afternoon booking, and does the weather suit the outdoor work?”
Quotes
Turn a supplier quote or work order into a draft quote
Attach a supported supplier file and ask Fergus to bring the line items into a draft quote, then add labour and check the result:
“Here’s the supplier quote for Phillip’s bathroom renovation. Bring the lines into a draft quote and add 20 hours of labour.”
Check the line items, quantities, prices, tax, total and margin before using the draft.
Build and check a quote
Start from rough notes, a supported file, a saved Favourite or the Price Book:
“Start with our bathroom Favourite, add eight hours of labour and show me the margin.”
“Would we still make a 30% margin if I knocked $500 off?”
You decide whether to change the quote.
Invoices and payments
Get finished work invoiced
Ask what’s left to bill, then review the invoice and customer email before anything sends:
“The bathroom renovation is done. What’s left to bill?”
“Prepare the invoice and customer email. Show me both before anything sends.”
Record invoice payments in bulk
Find more than one invoice, check the proposed updates, then confirm:
“Payment has come in for INV-04002 and INV-04003. Find them and show me before marking them as paid.”
Reports and business admin
Find the admin that’s slipping
Ask what’s outstanding instead of checking every job separately:
“Before payroll, whose time is missing this week?”
“Which finished jobs haven’t been invoiced?”
“Which jobs are still unassigned?”
See how the business is tracking
Start with a question, then ask Fergus to group or chart the answer:
“What did we invoice last month?”
“Show it by customer and chart the trend.”
“Which active jobs are below a 30% margin?”
Check important numbers against their source records before making a business decision.
Files and job information
Add supported photos or files to the correct job while the details are fresh, then find them from the same record later:
“Add these photos and this supplier invoice to Job 1234.”
“Show me the attachments on this job.”
On-site admin in Fergus Go
Get the job details:
“What’s my next job, and what do I need to know before heading there?”
“What’s the address for this job? Have I been here before?”
Capture time and notes:
“Log my time on FERG-92. I started at eight and just finished.”
“Note that the pump was replaced and tested.”
Leave a task for the office:
“Add a note that access was blocked and create a follow-up task for the office."
“Show me what you’re about to update.”
Keep the field and office on the same page:
On site:
“Add a handover note: part ordered and a return visit is needed.”

“What did the field team leave on this job?”
How to get a better result
A useful request usually includes:
What you want - find, create, update, draft, compare or check.
What it’s about - name the job, customer, site, quote or invoice.
Details that matter - the address, date, timeframe, tone or format.
For example:
“Draft a short, friendly follow-up email for the overdue Smith invoice. Show me before I send it.”
What to check before confirming or sending
Fergus Assistant helps with the admin, but it doesn’t replace your judgement. Before confirming an update or sending anything, check:
the customer, site and job
dates, addresses and assigned team members
quote and invoice line items
quantities, prices, tax, totals and margins
customer messages and attachments
important numbers against the source records in Fergus
What to do when Fergus can’t complete a request
Fergus may ask a follow-up question when information is missing or more than one record matches. If the result isn’t what you expected:
add the job number, customer, address or date
correct the detail in the same conversation
split a larger request into smaller steps
ask Fergus to show what it’s prepared before confirming
complete the task in Fergus as normal if the action isn’t supported yet
