Here's how to add time entries to a job in Fergus Go

Overview

Adding your time entries is easier with the Fergus Go app. You can add time to jobs in two different places within the app.

💡 Tip - Timesheets work offline.

You can create, edit and update time entries without an internet connection - any changes will sync automatically once you're back online.

From the Job Card screen

When a job is scheduled onto the calendar for you to attend, it will display on the Home screen of the app and in the Calendar view. Or you can select a job that wasn't in the schedule, from the assigned job list, unassigned job list or search for the job.

From here you can start the timer or manually add your time entry by tapping on the '+Add' button in the bottom right of the page.

The Timer

Simply tap the blue start button and let it run while you're on-site and when you're done, hit 'Stop timer'. You can update the times and add uncharged times for things like lunch breaks after stopping the timer.

If you're assigned more than one rate, you can also choose the work type for the timed entry when you stop the timer, the same way you would on a manual entry.

You will be asked whether your work is complete or if you need to come back.

Manual Time Entry

Tap the plus button in the bottom right of the job card screen, tap 'time entry', and follow the flow as you enter your hours.

This follows the same rate selection and splitting flow described above under "Choosing a rate and splitting your time."

Choosing a rate and splitting your time

Before a rate is selectable here, it needs to be set up on web.

Labour rates are configured under Settings → Time Entries.

Your default work type is set under Settings → Users → Employee pay, and a rate must be explicitly assigned to you before it appears on Fergus Go.

The time entry opens with an interactive "Work breakdown" timeline that behaves one of two ways:

  • If you're only assigned one labour rate (or your company only has one rate), it's applied automatically - no rate picker appears.

  • If you're assigned two or more rates, the entry opens pre-selected to your default rate, and you can tap the rate selector to switch it.

If your visit covers more than one type of work, tap Add split to break the entry into segments (up to 6 splits). For each segment, choose the work type or an uncharged reason (e.g. travel, break), and adjust its start/end time on the timeline. If you're logging time for teammates, anyone not assigned to the selected work type appears greyed out.

When you save, each work type in the split becomes its own individual time entry carrying its own rate.

From the Timesheet screen

When a job is scheduled on your calendar, it will appear on the Timesheet screen, providing a quick way for you to add time for all your jobs.

Simply tap on the card for the job you'd like to add time. This will open the time entry where you can edit start and end times, add a labour description, and include additional team members - saving time by streamlining entries into a single step.

This entry logs against your default labour rate automatically - there's no rate picker or splitting option from this screen. If you need to choose a different rate or split your time across multiple work types, add the entry from the job card instead (see above).

Your time entry is now completed and you can move on to entering time for your other scheduled jobs.

Adding uncharged time

From the Timesheet screen, you can also add time for things that aren't job-related, like toolbox meetings, workshop tasks, tidying up the van, office paperwork etc.

Tap Add Uncharged time and choose the date, add the duration of time you spent, and the reason.

Editing an existing entry

Tapping an existing entry from the timesheet opens the single-entry editor for that record. You can change the work type, the date, start/end time, and add or remove uncharged time. Splitting an already-saved entry into multiple work types isn't supported - splits can only be created when the entry is first logged.

Once a job phase has been invoiced, its time entries become read-only unless you hold the Add actuals permission.
