The Reminders feature in Fergus automates notifications for quote and estimate visits, scheduled job events, and outstanding invoices. This helps streamline your communication, ensuring a smooth and professional customer experience. Follow this guide to set up reminders effectively.
How to use it
Step 1: Access the Reminders Settings
Go to Settings in Fergus.
Select Reminders from the menu.
Step 2: Enable SMS
If you plan to send SMS reminders, you’ll need to enable SMS first:
Click SMS Settings in the top-right corner of the Reminders page.
Follow the on-screen steps to complete the setup.
Once SMS is enabled, return to the Reminders page.
Step 3: Enable Reminders
Toggle the switches on each reminder to enable or disable them. Fergus offers three types of reminders:
Scheduled Event Reminders: Send SMS reminders for upcoming scheduled events linked to active jobs.
Quotes/Estimates Schedule Confirmation: Send SMS reminders for Quotes/Estimates Schedule Confirmation.
Quote/Estimate Reminder: Remind customers about quotes or estimates sent via email, SMS or both.
Invoice Reminders: Automatically follow up on outstanding invoices using SMS, email, or both.
Please note: Scheduled Event reminders and Quote/Estimate Schedule Confirmation reminders are sent via SMS only and cannot be sent via email.
Step 4: Customise Reminder Timing
Choose the timing for each type of reminder.
Note: Avoid inconvenient timings. For instance, a reminder set 12 hours before a 1 PM job will send at 1 AM. We recommend 24 or 48 hours prior instead.
Handy Tip! You Can Edit Reminder Templates (Optional)
To personalise your reminders, edit their templates:
Click the View Template button next to each reminder.
This will take you directly to the template page, where you can make edits.
Once you’ve set up your reminders and adjusted their timing, Fergus will handle the rest.
