Favourites are a convenient way to add groups of items to an invoice or quote all at once and speed up the document creation process.
You can set up your Favourites in β Settings > Favourites, and if you need to enter custom line items not found in your price books, you can do so here as well.
π‘ Tip: When you enter a custom line item, it will be saved to your Custom Price Book rather than to a supplier.
Setting Up Your Favourites
Follow these steps to create your first favourite in β Settings > Favourites:
Step 1 β Add a folder
You can create multiple folders to help organise your favourites and make it easier to find the ones you want.
You will be prompted to enter a name for your folder and it will then appear in the first column.
Step 2 β Add a section (favourite)
Click on your folder, then use the Add Section or Add Folder options in the second column to add a favourite or a nested folder.
If you click Add Section, you will be asked to enter a name for your new favourite. From there, you can select it and its details will appear at the bottom:
Step 3 β Add line items
Use the Add a Line Item box to search for items in your price book and add them to your favourite:
Adding a Favourite to a Quote or Invoice
When creating a draft Invoice or Quote, you can either use the Add Section from Favourites button:
or search for the favourite:
Once you find the favourite you need, select it to add all its line items into your quote or invoice at once.
Fixture Price
If you have a group of items that you often charge out together at a preset price, you can also set a fixture price for that favourite.
This gives you the option to add it to the quote or invoice with the item prices adjusted automatically so that the total comes to your fixture price (you can still add it normally to use the calculated price instead).
π‘ When adding a favourite with a fixture price to a quote or invoice, you'll see two options:
β
βFixture Price (All Items) β adds the favourite using your preset fixture price.
βAll Items β adds the favourite using the calculated price based on your individual line items.
