Overview
Templated Line Items extend the existing Quote and Invoice Template builder in Fergus, allowing you to save groups of line items and sections which can be applied and reused whenever you need.
You can:
Apply templates when creating quotes or invoices
Save new templates directly from the editor
Manage templates from your Quote/Invoice Settings page
Use templates on Fergus Go (with some limitations)
When to use it
You’ll want to use Templated Line Items when you regularly create quotes or invoices with the same structure, such as:
Standard service packages
Common job layouts
Repeating labour/material groupings
Customer-specific pricing templates
How to Use it
Creating a Template
You can create Quote and Invoice templates from the Template Editor in Settings.
To create a template:
Go to Settings.
Select Quote Templates or Invoice Templates.
Open the template editor.
Add your sections and line items (including Price Book or favourite items).
Save your template.
Your template will then be available to apply when creating a quote or invoice.
Applying a Template
Line Item Templates are part of the existing Quote/Invoice template workflow. To apply a template:
Open a quote or invoice from a Job Card (or via Quick Actions)
Select the Template dropdown
Choose the template you want to use
Click Apply Template
Your quote or invoice will automatically populate with the saved line items and sections.
Saving a New Template
You can now save a new template directly while editing a quote or invoice. To save a template:
Open the quote or invoice editor
Add your line items and sections
Open the Template dropdown
Select Save New Template
Enter a name and save
This makes it easy to turn your most common documents into reusable templates.
Editing a Template
Saved templates can only be modified from the Settings page. To edit a template:
Go to Settings
Select Quote Templates or Invoice Templates
Open the template you want to update
Make your changes and save
Note: Changes made in Settings will apply the next time the template is used.
Templates cannot be edited directly from inside a live quote or invoice.
What Templates Do Not Save
Templated Line Items save the structure of your quote or invoice. The following elements are not saved as part of a template:
Combined line items (they will be saved as individual items)
Discount rates
Custom tax rates (your company default tax rate will apply)
Favourite fixture pricing
Line item descriptions
Section or line item reordering after saving
If you need to adjust any of these, you can do so after applying the template to a job.
How Template Pricing Works
Templates define the structure of your line items, not the final pricing. Pricing is calculated when the template is applied to a job.
Price Book Items
If a line item comes from your Price Book:
Cost and sell prices are locked
Markup, tax, and discounts are read-only
This prevents manual overrides and maintains Price Book accuracy.
Final Pricing is Calculated on the Job
Prices are finalised when a template is applied, based on:
The customer assigned to the job
Tiered pricing rules
Your active Price Book
Manual Price Overrides
If you manually edit a line item price on a job card:
Fergus saves it as a static value
The change only applies to that specific quote or invoice
Using Templated Line Items in Fergus Go
Templates are supported in Fergus Go, with some limitations depending on template complexity.
Fergus Go - Invoicing
You can create invoices from templates in Fergus Go. You can:
Choose a template when creating an invoice
Search templates using the existing item search
View template totals before selecting
Add, remove, or edit line items after applying
Note: Combined line items are currently not supported, these will show up flattened with every item displayed.
Fergus Go - Quoting
Quotes work slightly differently because draft quotes are created automatically after job creation. To apply a quote template:
Open the draft quote
Select the bottom action menu
Tap Choose Template
Pick the template you want to apply
Note: If your quote already contains line items, Fergus Go will confirm that applying a template will overwrite the existing content.
Differences in Fergus Go
The following functionality is not currently supported in Fergus Go:
Section nesting
Reordering sections
Displaying markup, discounts, or tax breakdowns
Rich text section descriptions
