How to take a customer's payment details over the phone

If a customer wants to pay an invoice but isn't with you in person, you can take their card payment over the phone and record it directly in Fergus.

This allows you to process the payment immediately and mark the invoice as paid.

How to Take a Payment Over the Phone

  1. Open the invoice you want to take payment for

  2. Click the icon and select 'Pay by Credit Card'

  3. Ask the customer for their card details and enter them into the payment fields

  4. Confirm the payment amount with the customer

  5. Click Pay Now

If the payment is successful, the invoice will automatically update to Paid in Fergus.

Before Processing the Payment

To avoid any mistakes, it's a good idea to:

  • Confirm the invoice number or amount with the customer

  • Double-check the card number and expiry date before submitting

  • Let the customer know when the payment has been successfully processed

Important to Note

  • Fergus does not store full card details, so they need to be entered each time a payment is taken

  • The payment will appear in the invoice payment history once it has been processed.
