What is data archiving?

Data archiving is the process of moving data from its primary storage location to a secondary, long-term storage location for preservation and retrieval purposes. The archived data is typically infrequently accessed and may no longer be actively used by the organization but must be retained for compliance or other reasons.

Why do we archive data?

Data can accumulate over time, leading to storage capacity challenges, increased data processing times, and other issues that can affect the system's performance. Archiving helps alleviate these challenges by moving data that is no longer actively used to a separate location, freeing up space but most importantly reducing the workload on the system.

In addition to these technical considerations, archiving data also ensures that we comply with regulatory requirements for data retention. As a company, we take our data protection responsibilities seriously and are committed to maintaining the confidentiality, integrity, and availability of our customers' data.

How does data archiving work at Fergus?

At Fergus, we leverage automated processes to archive log trail of user actions, job specific emails sent (Although your quotes, and invoices are always available, just not inside the “Notes & History section), we also delete notifications. These are the only scenarios where data archiving is applied, and is only applied to data that is older than 3 years.

Our system is designed to execute a task every month to identify data that is 3 years old automatically and move it to a secondary storage location. This helps ensure that the system's performance remains optimal, even as the volume of data we collect continues to grow.

Our archiving process is closely monitored to ensure that all data is accurately and securely transferred to the secondary storage location. We use industry-standard encryption protocols to protect data during the transfer process and while it is at rest in the secondary storage location.

Conclusion

Data archiving is an essential aspect of managing large volumes of data at Fergus. By archiving some of our data we can reduce processing times, all the while complying with regulatory requirements for data retention. Our archiving process is designed to be automated and closely monitored to ensure that data is accurately and securely transferred to the secondary storage location.
