Overview
Keep track of supplier invoices and keeping your pricing up to date can be time consuming for any business.
By connecting your Tradelink Trade Portal account, your invoices and credit notes will automatically appear in Supplier Documents, and your Tradelink price book can be sent to Fergus every month, so your pricing stays up to date without the manual uploads.

When to use it
Connecting your Tradelink account can help you:
Track up-to-date costs on a job - invoices come through automatically, so there's no waiting to download, save and upload them yourself.
Cut down on admin and mistakes - invoices automatically match to the correct job when your Site Visit number or purchase order number is used as the reference
Keep your pricing current - your Tradelink price book updates every month, ready for quotes and estimates
Note: To connect Tradelink to Fergus, you'll need a Tradelink Trade Portal account (previously known as Tradedoor).
How to use it
Which Tradelink integration should I use?
When you search for Tradelink in the Integration Centre, you'll see two options:
⭐︎Tradelink - Premium Integration (Invoicing, Credit Notes) - a direct connection between Fergus and Tradelink Trade Portal. Use this one for your invoices and credit notes.
Tradelink (Invoicing, Price Book) - uses email ingestion, where Tradelink sends files to your unique Fergus email address. Use this one for your price book.
💡 Tip: For the best setup, we recommend using both - the Premium Integration for invoices and credit notes, and the email integration for your price book. You can use the email integration for invoices as well if you prefer, but the setup above will give you the best experience as the integration continues to develop.
Step 1 - Find your unique Fergus email address
In Fergus, click your profile icon (top right) and select Settings
Under General, select Integration Centre
Search for Tradelink
Select the Tradelink tile (Invoicing, Price Book)
Your unique Fergus email address will be displayed underneath the blue information box - click Copy
⚠️ For security reasons, don't share or publish this unique email address with anyone other than Tradelink.
Step 2 - Schedule your price book in Tradelink Trade Portal
Log in to Tradelink Trade Portal
Select Your Profile (top right) and select Settings
3. From the menu on the left, select Price Changes & Price Files
This is where you can schedule your monthly Price File to be sent directly to Fergus.
Complete the following fields:
Preferred Email Address - paste in your unique Fergus email address
Enable - make sure this is ticked
Item Filter - choose which products you want included in your price book (see below)
Format - select Fergus Price File from the drop-down menu
Once everything is set, click Save (top right).
Choosing an Item Filter
Frequently Ordered Items - your Top 100 products purchased in branch or online over the last six months. A good option if you only need pricing for the products you buy regularly.
My Branch Products - a broader selection based on what you've been purchasing. This is the recommended option for most businesses - it gives you a useful range of products without an unnecessarily large file.
Complete Price List - the full Tradelink range. This can suit larger businesses, but for most it will include far more products than needed.
Choose From My Lists - select products from any of your Trade Portal Lists. Handy if you've already built lists for particular jobs or product groups.
ℹ Your pricebook will be sent to Fergus at the start of every month. Once it arrives, Fergus will automatically update your Tradelink price book records. You can check the status anytime under the Log tab in the integration settings.
Step 3 - Connect invoices and credit notes
Note: Before you start, make sure you're already logged in to Fergus in the same browser.
Log in to Tradelink Trade Portal
Select Your Profile (top right) and select Settings
3. From the menu on the left, select Invoices & Integrations
4. Under Method, select Job Management & Accounting Integrations
5. Find Fergus and click Connect to Fergus
Trade Portal will open an additional window to process the connection, then take you back to Fergus with a confirmation that Fergus is connected to Tradelink. You're all set up.
💡 Tip: To have invoices match to the right job automatically, use the job's Site Visit number or purchase order number as your reference when ordering from Tradelink.
ℹ Invoices and credit notes will be imported automatically and can be found on the Supplier Documents page.
Confirming your connection
You can confirm the connection is active by heading to Settings - Integration Centre and selecting Tradelink - Premium Integration. The status of your connection is displayed under to the Tradelink logo.
