Overview

Fergus's new list view feature provides streamlined access to your Enquiries, Quotes/Estimates and invoices, helping you maintain better visibility and organisation of your business workflow. You can easily navigate between different types of customer interactions using the convenient tabs on your dashboard.

Benefits of the New List View

The enhanced list view feature offers several advantages:

Accessing Your Enquiries

To view and manage your enquiries:

  1. Navigate to your dashboard - Log in to your Fergus account and go to the main dashboard

  2. Locate the tabs - Find the navigation tabs at the top of your dashboard

  3. Click on the "Enquiries" tab - This will display your list of enquiries

  4. Review your enquiries - Browse through new and existing enquiries in the organised list view

To create a new enquiry, click the blue "Add Enquiry" button. You can also adjust the enquiry settings or filter your enquiries by their status. The available statuses are as follows:

  • To do

  • Contacted

  • Job Created

  • Rejected

Understanding Your Enquiries List

The enquiries list provides a comprehensive overview of each enquiry with the following information:

  • Enquiry ID - Unique identifier for each enquiry

  • Name - Customer or contact name

  • Address - Location for the enquiry

  • Date - When the enquiry was received

  • Status - Current stage of the enquiry

  • Notes - Additional details or comments

Managing Individual Enquiries

For each enquiry in your list, you have several options:

  • View Details: Click the "View" button to see complete information about the enquiry, including full description, customer details, and any attached files or images.

  • Quick Actions Menu: Next to the View button, you'll find a three-dot menu that provides these action options:

    • Create a job - Convert the enquiry directly into a new job

    • Mark as contacted - Update the status to show you've been in touch with the customer

    • Reject the enquiry - Decline the enquiry if it's not suitable for your business

    • Send email - Communicate directly with the customer about their enquiry

The Enquiries tab displays all incoming customer requests, enabling you to quickly identify new opportunities and monitor the status of potential work.

Accessing Your Quotes and Estimates

To view your quotes and estimates:

  1. From your dashboard - Ensure you're on the main Fergus dashboard

  2. Select the appropriate tab - Click on the "Quotes/Estimates" tab

  3. View your list - All your quotes and estimates will be displayed in an easy-to-read list format

  4. Manage your Quotes/Estimates - Click on individual items to edit, update, or send quotes to customers

To create a new Quote/Estimate, click the blue "New Quote/Estimate" button. You can also adjust the Quote settings or filter your Quotes/Estimates by their User or Group for better organisation.

Understanding Quote/Estimate Status Lists

The Quote/Estimate tabs are organised from left to right to follow your natural workflow process:

  1. All - Complete overview of all Quotes/ Estimates regardless of status

  2. Draft - Create and edit your quotes before sending them to clients

  3. Awaiting Response - Track quotes that have been sent and are pending client review

  4. Declined - Manage rejected quotes (you can create new quote versions or close the opportunity)

  5. Accepted - Monitor approved quotes and track outstanding payments

This tab structure helps you quickly see where each quote stands in your sales process and what action may be needed next.

Managing Individual Quotes/Estimates

Each status list provides tailored information and filtering options specific to that Quote/Estimate stage. Additional features include:

  • View Details: Click the View button next to any quote/estimate to see full details, including customer info.

  • Edit or Update: Select a quote/estimate to make changes or send it to a customer.

  • Create New Quote/Estimate: Use the blue New Quote/Estimate button to start a new quote.

  • Quick Contact Access: Hover your cursor over a customer's name to display their contact information card, providing easy access to customer details when follow-up is needed.

Accessing Your Invoices

The Invoices tab follows the same intuitive structure as the Quotes section, making it easy to navigate and manage your billing.

To view your quotes and estimates:

  1. From your dashboard - Ensure you're on the main Fergus dashboard

  2. Select the appropriate tab - Click on the "Invoice" tab

  3. View your list - All your Invoices will be displayed in an easy-to-read list format

  4. Manage your Invoices - Click on individual items to edit, update, or send invoices to customers

Invoice Status Categories:

  • All - Displays your complete invoice history

  • Drafts - Shows invoices that haven't been sent to customers yet

  • Awaiting Payment - Lists sent invoices that are still pending payment

  • Paid - Contains all successfully paid invoices

  • Voided - Shows any invoices that have been cancelled or voided

Additional Features

  • View Details: Click the View button next to any invoice to see its full breakdown, including line items, payment history, and customer information.

  • Search and Filter: Use the search bar or filters to locate specific invoices by Job Type, Due date, Delivery status or Invoice status.

  • Quick Contact Access: Hover your cursor over a customer's name to display their contact information card, providing easy access to customer details when follow-up is needed.
