Overview

The Staff Overview Report allows admin users to see a summary of hours worked and hours charged for each staff member over a selected time period.

This report is designed to help you understand how staff time is being used, how much of that time is being charged to jobs, and where uncharged time may be occurring.

What the Staff Overview Report shows

The Staff Overview Report provides a breakdown of:

  • Hours worked by each staff member

  • Hours charged to jobs

  • Uncharged hours (both paid and unpaid)

  • Percentage of hours charged, showing the relationship between hours worked and hours charged

  • Percentage of completed or queried jobs

This gives a high-level view of labour utilisation across your team.

To view the staff overview report, head to the reports icon in the top right of your screen, and navigate to the Staff Overview Report.

Understanding the key figures

Hours worked vs hours charged

  • Hours worked shows the total time logged by each staff member

  • Hours charged shows how much of that time has been charged to jobs

Comparing these figures helps identify whether logged time is being recovered through job charges.

Uncharged time

Uncharged time highlights hours that have been worked but not charged to a job.

This is split into:

  • Paid uncharged time

  • Unpaid uncharged time

Reviewing uncharged time can help identify:

  • Time not being allocated to jobs

  • Gaps in time tracking

  • Potential labour recovery issues

Percentage of hours charged

The percentage of hours charged provides a simple measure of:

Hours charged ÷ hours worked

This helps you quickly assess how effectively staff time is being recovered across the business.

When to use this report

The Staff Overview Report is useful when you want to:

  • Review labour utilisation across staff

  • Check how much logged time is being charged to jobs

  • Identify uncharged time

  • Spot patterns that may impact job margins

It’s best used as a high-level review tool, rather than a detailed job-by-job report.

Exporting the report

The Staff Overview Report can be exported as a CSV file for further analysis:

Important notes

  • Accuracy depends on:

    • Time being logged consistently

    • Jobs being updated correctly

  • The report focuses on time and charging, not invoicing or payments

Summary

The Staff Overview Report provides a clear summary of staff hours worked, hours charged, and uncharged time over a selected period. It’s a useful report for understanding labour utilisation and identifying areas where staff time may not be fully recovered.
