Overview

Adding Forms to your Jobs and its Phases when you're on the tools means you don't have to wait to get back to the office to make sure your staff has all the tasks and instructions they need to complete the Job.

Adding Forms help your business maintain repeatable high quality of service by making sure all your staff knows what's expected of them when out in the field.

In this article we'll cover how to:

When to use it

Whenever you are on the go and need to fill up a Form for whatever reason, you can add one, either on the Job or a Job Phase, from your custom created Form Templates.

How to use it

1. Adding Forms to a Job or Job Phase

In the mobile app, navigate to a Job or a Job Phase.

Tap the "Forms" menu item and this will open the Forms list page for this Job/Job Phase (by default, this list is empty).ย 

To add a Form tap the + button in the top right on the screen.

From the list of Form Templates select the one/s you want to add to your Job or Job Phase. Tap "Add" at the top right of the screen to attach your Form(s).

Your Form is now attached to the Job or Job Phase.

2. Assign Staff to Forms

To assign staff to the Form and set a due date and reminder, click into the Form. Here you can see who is assigned to Form and the due date.

To assign staff and set due dates and reminders to the Form, tap the > arrow (right arrow) on the right of the screen. This will open the Settings page for the Form.

Tap "Select an employee" to select and assign staff members, then tap "Apply".

3. Set Due Dates and Reminders

To set a due date for the Form select a date and time by tapping "Select Date" and choose a date using the date picker.

To set a reminder, select a time from the reminders options. This will notify the assigned staff members 30 mins, 1, 2, or 6 hours before the Form is due.

Overdue Forms

Forms that aren't completed by their due date are marked as overdue and are indicated in red.

When Forms are overdue a notification is sent to the staff member who is assigned to it. This helps keep your staff accountable for maintaining your business processes and high quality of service.

Adding Extra Information

If you need to add any extra information to the Form, you can do so in the field provided. Click "Save" to save your changes.
